Personal Info vs. Public Info

Web Analytics Information:

While on our website, we may collect information about your visit and browsing history that is collected in a non-identifiable way through Google Analytics, our third party analytics software.

Personal Contact Information:

When contacting us through web forms, email or live chat; signing up for a trial account; or requesting more information, we collect your name, email address, mailing address, and any other information we deem pertinent to your relationship with us. This information can be changed by you at any time by logging in to your account.

Payment Information:

Paid clients will be required to provide us with payment information. This information and all related information is processed, stored and managed by our PCI compliant payment processing partners – PayPal and Stripe.

Business Profiles and Reviews Data:

Once you begin using our software, we collect, store and process your business profile on Google and other relevant websites. Along with that, we also store online reviews from review websites such as Google, Yelp, Facebook and other review sites. This information is not personally identifiable information as it is publicly available. By using our software, you will send invitations to review, along with requests for feedback, to your clients. All of their contact information is encrypted.

When you connect your Review Tool account to your Google My Business account, we access, collect and store your Google reviews as well as other profile insights and statistics. This is done to let you see your Google reviews and other Google My Business insight statistics directly from your Review Tool account and to be able to respond to your reviews right from your Review Tool dashboard. This information is not personally identifiable and will not be shared with anyone or used for other purposes.

What information do we collect from Invitees?

We collect very little information from your invitees once they interact with the invitation. The information we do collect includes the review site they click on, IP address, date and time of their interaction.

How is your information used?

The information collected may be used in the following ways:

  • To provide you access to your account, allowing you to use our software, send review invitations, monitor and manage your invitations and reviews.
  • To process monthly payments
  • To personalize your experience to ensure you have access to the content and products of most relevance to you.
  • To provide the highest level of customer service
  • To send emails in relation to your account or services
  • To follow up to inquiries made by you via chat, email or phone.

Please note, there is an opt-out feature to provide you the opportunity to refuse future correspondence via email or SMS.

Security Measurements:

Review Tool uses multiple security measures to ensure the safety and integrity of all personal information collected. Review Tool takes all possible measures to protect your information. In the unlikely event of a data security issue, Review Tool will inform you via email, providing the scope of the problem and explaining any affected information. We will also inform you of the steps we plan to take to rectify the problem and prevent it from occurring again.

Password Strength

It is the responsibility of the customer to ensure the security of their logins and passwords. We recommend updating them on a regular basis and never sharing them with third parties. We recommend the following for strong passwords:

  • Never use the same password for multiple accounts
  • Use a mix of letters, including both lower and upper case, as well as numbers and special characters
  • Avoid using personal information or common words in your passwords (including your name or company name)
  • Passwords longer than 8 characters provide more security
  • Avoid using repeat characters or sequences

Removing Your Data:

By request from you, we will make all efforts to delete personal information stored in your account or the information of your review invitees. Some personal information may be archived and shared as required by law or for the use of legitimate business purposes to:

  • Fulfill an enforceable government request
  • Confirm requirements of the law or legal process
  • Protect our legal rights, property, website, or other users of our website
  • Protect the safety or health of users of our website or the general public

Once generated through our software and posted on review sites, reviews cannot be removed or altered by us. These are third party sites that are not controlled by us. In order to remove this information, you must contact the review site itself.

Do we use ‘cookies’?

Review Tool uses cookies, small files that transfer allow your browser to recognize and remember certain information. Cookies allow ease of use when logging into your account, and help the technical functions of our software. Cookies ensure the most efficient user experience.

Sharing of Information

Review Tool never sells, rents or trades private information to third parties. Personal information may be used internally by us, however, to improve your user experience. This includes customizing communications, or ensuring our services are as helpful and useful as possible to others. Third party services may be used for these functions. Non-personally identifiable information may be gathered and shared with web analytics, social networking sites, or other third parties for this sole purpose. Third-party Reviews Sites

Review Tool utilized third party, publicly available data about your business to find, store and display reviews from various websites. Review Tool and Review Tool do not have any control over how your information is displayed on third party sites. Therefore, we cannot alter or remove reviews once they are placed by customers. Our software only encourages customers to leave feedback by providing a professional, easy process by which they can access these third party sites.

Negative Reviews

Review Tool has a built in screening feature to prevent negative reviews from being posted to review sites from our links. However, customers may still go directly to these third party sites to leave negative reviews on their own. Our team of experts can help you address any negative reviews you may receive, at a reasonable cost. This includes helping you respond to the review, or checking for ways to remove the review, such as if it violates guidelines.

Children Online Privacy Protection

Our software should only be used by adults over the age of 18. By utilizing our software and website, you acknowledge that you are over 18. We do not knowingly collect, use or disclose personally identifiable information from anyone who may be under the age of 18.

Unsubscribing

Invitees and users of our software both have the right to unsubscribe to prevent future communication. Opt-out links are included in emails. You can opt-out of future SMS messages by texting STOP.
